Shipping & Freight Delivery Policy

How MRCOOL systems ship, what curbside freight delivery includes, and how to inspect and document a shipment before you sign the carrier's delivery receipt.

Before you order

Thank you for shopping with More Heat More Cool. Many of the products we sell, including MRCOOL HVAC systems, condensers, air handlers, furnaces, mini-splits, line sets, and accessories, are large or heavy items that may require freight (LTL) delivery.

Please carefully review this Shipping & Freight Delivery Policy before placing your order.

Order Processing

Orders are processed after payment has been successfully received and the order has passed any applicable payment or fraud verification.

Estimated processing and shipping times shown on our website are estimates only and are not guaranteed delivery dates.

Orders containing multiple products may arrive in separate shipments or on different days.

Shipping Methods

Depending on the size, weight, destination, and products ordered, your order may be delivered by:

  • UPS, FedEx, or another parcel carrier
  • LTL freight carrier
  • Residential freight delivery
  • Commercial freight delivery
  • Local delivery when available

Large HVAC equipment will generally be shipped by freight carrier on a pallet or other protective shipping material.

Standard freight delivery to the contiguous 48 United States is free. We do not ship to Alaska, Hawaii, or U.S. territories. Curbside delivery is standard; liftgate, inside delivery, scheduled-appointment, and expedited services may be available from the carrier at additional cost.

Freight Delivery Appointments

Freight carriers may contact the buyer using the phone number provided during checkout to schedule delivery.

It is the buyer's responsibility to provide an accurate:

  • Name
  • Shipping address
  • Email address
  • Telephone number

The buyer is responsible for responding to the freight carrier and being available for the scheduled delivery.

Additional carrier charges caused by an incorrect address, missed appointment, inaccessible delivery location, re-delivery, storage, address correction, or other circumstances caused by the buyer may be charged to the buyer.

Residential & Curbside Delivery

Unless specifically stated otherwise, residential freight delivery is generally curbside delivery.

Curbside delivery does not necessarily include bringing equipment inside a home, garage, basement, mechanical room, or other structure.

The customer is responsible for moving equipment from the delivery point after delivery has been completed.

Liftgate service may be included or available depending on the shipment and carrier.

IMPORTANT — Inspect Your Shipment

DO NOT SIGN FOR A FREIGHT SHIPMENT WITHOUT INSPECTING IT FOR VISIBLE DAMAGE.

Before accepting a freight delivery, inspect the:

  • Boxes and cartons
  • Pallets
  • Shrink wrap
  • Straps
  • Corners
  • Equipment cabinets
  • Condenser and coil areas
  • Number of packages received

Look for crushed boxes, punctures, dents, bent panels, broken pallets, torn packaging, missing boxes, or other visible damage.

If You See Damage

If there is visible damage, take photographs before the driver leaves.

Photograph:

  • The entire shipment
  • The damaged packaging
  • The damaged equipment
  • The pallet
  • Shipping labels
  • Model and serial information when accessible

Have the freight driver note the damage on the delivery receipt or bill of lading before you sign it.

Do not simply sign a delivery receipt indicating that the shipment was received in good condition if visible damage exists.

Contact More Heat More Cool as soon as possible after discovering shipping damage.

Concealed Damage

Sometimes equipment can appear undamaged externally but have damage underneath the packaging.

Customers should completely inspect their equipment as soon as reasonably possible after delivery.

If concealed freight damage is discovered, stop unpacking when practical, preserve the original packaging and shipping materials, take detailed photographs, and contact More Heat More Cool immediately.

Claims involving concealed freight damage may be subject to the freight carrier's reporting deadlines and inspection requirements.

For this reason, customers should not wait until installation day to inspect their equipment.

Missing Items

Customers should verify the number of cartons, pallets, equipment pieces, and accessories received against the shipment information.

If something appears to be missing, document the discrepancy on the delivery receipt when possible and contact More Heat More Cool promptly.

Some orders may intentionally ship in multiple shipments.

Do Not Install Damaged Equipment

Equipment that appears to have suffered significant shipping damage should not be installed, connected, modified, or operated until the issue has been reviewed.

Installing or modifying damaged equipment may affect our ability to pursue a freight claim or replacement.

Refused Deliveries

Customers should not refuse a shipment solely because they changed their mind, ordered the wrong product, no longer need the equipment, or cannot accept the delivery.

Unauthorized refusal of a shipment may be treated as a customer-requested return.

The customer may be responsible for applicable:

  • Original freight charges
  • Return freight charges
  • Carrier fees
  • Storage fees
  • Re-delivery charges
  • Address correction charges
  • 25% restocking fee

These amounts may be deducted from any eligible refund where permitted by law.

If a shipment has severe visible freight damage, photograph and document the damage and contact More Heat More Cool for assistance.

Incorrect Shipping Address

Customers are responsible for confirming their shipping address before submitting an order.

Once an order has entered processing or has shipped, we cannot guarantee that the shipping address can be changed.

Any additional charges resulting from an incorrect or incomplete address may be the responsibility of the buyer.

Order Changes & Cancellations

Contact us immediately if you need to change or cancel an order.

We will make reasonable efforts to accommodate the request, but cancellation is not guaranteed once an order has entered processing, been prepared for shipment, or shipped.

Orders that have already shipped cannot simply be canceled and may instead fall under our Return & Refund Policy.

Shipping Delays

More Heat More Cool is not responsible for carrier delays or delivery interruptions caused by circumstances outside our reasonable control, including severe weather, transportation disruptions, carrier capacity, natural disasters, labor disruptions, or other events beyond our control.

We will make reasonable efforts to assist customers when a shipment is delayed.

Delivery Does Not Include Installation

Unless installation is specifically included in the product or service purchased, purchasing HVAC equipment through our online store does not include installation.

Installation requirements vary by product.

Customers are responsible for ensuring that the equipment they purchase is appropriate for their application and is installed in accordance with applicable manufacturer requirements, building codes, electrical codes, refrigerant regulations, permitting requirements, and other applicable laws.

Certain equipment may require installation or commissioning by a qualified or licensed professional.

Customer Responsibility for Product Selection

HVAC equipment must be properly sized, matched, installed, and commissioned.

More Heat More Cool strongly recommends confirming equipment compatibility and sizing before placing an order.

Ordering incorrect equipment does not constitute shipping damage, a manufacturer defect, or a shipping error.

Returns resulting from a customer purchasing the wrong equipment are subject to our Return & Refund Policy, including applicable restocking fees and return shipping charges.

Manufacturer Warranty

Shipping damage is different from a manufacturer warranty claim.

Manufacturer defects discovered after delivery are subject to the warranty terms applicable to the specific MRCOOL product or other manufacturer's product purchased.

Warranty coverage does not automatically include labor, refrigerant, shipping, diagnosis, installation, or other expenses unless specifically provided by the applicable manufacturer's warranty.

Return Shipping

Customer-requested returns are governed by our Return & Refund Policy.

Eligible returns must receive authorization before being shipped back.

Unless otherwise required by law or the return results from our error, the buyer is responsible for return shipping and freight charges.

Eligible customer-requested returns are subject to the applicable 25% restocking fee described in our Return & Refund Policy.
